Who we serve

We specialize in industries where generic bookkeeping falls short.

Every industry has its own financial quirks — and every growth stage creates new ones. We know yours, and we build your books around how your business actually works.

For independent restaurants: know your numbers before the month is gone.

Restaurant bookkeeping is unlike anything else — tipped payroll, daily transaction volume, food costs, and multi-revenue streams all moving at once. You know the dining room. We'll handle everything behind the scenes.

Sound familiar?
"We're slammed every weekend but the checking account is somehow empty."
"I need a real P&L — not just what my POS spits out."
"Tax season blindsided me. I had no idea I owed that much."
Tipped payroll, done right

We configure QuickBooks to properly allocate, document, and track tipped wages — so your records are accurate and your CPA has what they need.

Weekly prime cost visibility

We reconcile your books so you can see food + labor costs weekly — not at the end of the month when it's too late to course-correct.

Sales tax compliance

Food vs. non-food sales tax rules vary by state and are frequently miscollected. We track and document everything correctly.

POS integration with QuickBooks

We connect your POS to QuickBooks so sales data flows automatically — no manual entry, no gaps, no surprises.

For Shopify sellers: your dashboard isn't your real profit.

Shopify payouts bundle fees, refunds, and sales tax into one deposit. Multi-state nexus is enforced more aggressively than ever. A $150K store can carry a $40K+ silent liability without knowing it. We untangle all of it.

Sound familiar?
"I just got a letter from California — I didn't even know I had nexus there."
"My Shopify dashboard says I made $X but my bank account doesn't match."
"I have three 1099-Ks and none of them add up to the same number."
Shopify ↔ QuickBooks integration

We connect your store, reconcile platform payouts properly, and make sure every fee, refund, and sale is categorized correctly.

COGS & inventory tracking

We set up proper cost of goods tracking so you know what you actually net after product costs — not just gross revenue.

Multi-platform reconciliation

Selling on Shopify, Amazon, and Etsy? We consolidate all income streams so your books reflect reality across every channel.

Sales tax documentation

We keep your records organized and documented — so if you ever need to register in a new state, everything is already in order.

For landscapers, contractors & trades: know which jobs actually made you money.

Trades bookkeeping is job-based and seasonal — two things generic bookkeepers consistently get wrong. Whether you're running a landscaping crew, managing a general contracting operation, or running HVAC, plumbing, or electrical work, your books need someone who actually understands the trades.

Sound familiar?
"We're slammed all summer but I never know where the money went."
"I know we're making money — I just can't tell you which jobs are actually profitable."
"My accountant shows up in April and I just hand him a shoebox."
Job costing setup

We configure QuickBooks to track labor, parts, fuel, and overhead per job — so you can see real margins by project, not just total revenue.

Subcontractor 1099 tracking

We track sub payments in QuickBooks and flag who needs a W-9 — so you're not scrambling in January with missing paperwork.

Seasonal cash flow reporting

Monthly reports that show exactly where you stand heading into slow season — no more guessing about cash reserves.

Equipment & vehicle tracking

We document asset purchases, track depreciation, and keep your expense records organized so nothing gets missed at year-end.

For content creators: six income streams shouldn't mean six headaches.

AdSense, brand deals, Patreon, course platforms, affiliates, merchandise — each generates its own payment and its own rules. We build your books around how creator businesses actually work, not a template made for a landscaping company.

Sound familiar?
"I got hit with an $18K tax bill in April and almost had to shut down."
"My old bookkeeper kept asking what a brand deal was."
"My income is all over the place — I literally can't predict what I'll make."
Multi-platform income reconciliation

We pull together Stripe, PayPal, YouTube, Patreon, LTK, and more into clean, accurate books — no more mystery deposits.

Creator-specific chart of accounts

We build your QuickBooks around how your revenue streams work — sponsorships, affiliate commissions, ad revenue, digital product sales, all categorized properly.

Brand deal documentation

We track and categorize brand deal payments so your P&L is clean and defensible if a brand or lender ever asks to see your financials.

Contractor payment tracking

Paying editors, VAs, or designers? We document every payment and flag W-9 requirements so 1099s are accurate at year-end.

For private practice & cash-pay providers: you went to school to help people — not to do bookkeeping.

Independent therapists, chiropractors, med spas, and cash-pay clinics are high earners with no financial back office. Mixed personal and practice finances, hybrid W-2/1099 staff, and insurance reimbursements all create real compliance risk.

Sound familiar?
"My practice made good money last year but I still owe a huge tax bill."
"I have no idea if my associate is properly set up as a 1099."
"I don't even know where to start separating personal from business."
Practice vs. personal separation

We cleanly separate practice income, insurance reimbursements, and personal draws — so your books reflect actual business performance.

W-2 and 1099 staff documentation

We track both employee and contractor payments correctly, flag W-9 requirements, and make sure your payroll records stay clean.

Insurance reimbursement tracking

We categorize reimbursements properly so your revenue picture is accurate and your CPA has what they need for proper reporting.

Monthly financial reports

Clean monthly P&Ls so you always know where your practice stands — and your accountant isn't starting from scratch every April.

For golf lounges & entertainment venues: your POS, your booking platform, and your bank account tell three different stories.

Indoor simulator lounges, tech-enabled driving ranges, and modern mini-golf venues run four or more revenue streams — bay rentals, memberships, food & beverage, and events — each flowing through a different system. Generic bookkeepers cannot reconcile this. We can.

Sound familiar?
"My Lightspeed report, my booking platform, and my Stripe payouts never add up to the same number."
"I sold founding memberships and I have no idea how to recognize that income correctly."
"We crushed it in winter but I still don't know if the business is actually profitable."
Multi-platform revenue reconciliation

We connect your booking platform, POS, and payment processor to QuickBooks and reconcile every stream separately — so bay rental, F&B, and membership revenue are never lumped into one mystery deposit.

Membership & deferred revenue tracking

Monthly membership dues are deferred revenue until the service is delivered. We set this up correctly so your books reflect your actual financial position — not an overstated income figure.

Simulator asset & depreciation documentation

We properly classify TrackMan, Uneekor, and other simulator equipment as fixed assets in QuickBooks and maintain a depreciation schedule — so your CPA has everything needed for year-end planning.

Slow-season cash flow visibility

We produce monthly reports that show your real cash runway heading into slow season — so you're not guessing how long your winter revenue needs to carry you through summer.

For growing businesses at $3M–$10M: you've outgrown basic bookkeeping but aren't ready for a $175K CFO.

At this revenue level, new financial complexity appears that your current bookkeeper was never equipped to handle — multi-state nexus, departmental P&L, internal controls, payroll compliance across states. We are the strategic financial partner that fills that gap.

Sound familiar?
"We're doing $5M in revenue and I genuinely don't know if we're profitable or just have strong cash flow."
"I hired someone in Colorado and now I have no idea what tax obligations that created."
"My books are technically done every month but they don't tell me anything useful."
Departmental P&L reporting

We configure QuickBooks with class and location tracking so you can see a separate P&L for each revenue line, division, or location — not just one consolidated number that hides which parts of your business are actually performing.

Multi-state nexus documentation

We maintain a live register of every state where you sell, employ, or store inventory — and flag new exposure immediately when it's created. Your CPA gets a complete, current picture every quarter.

Monthly KPI dashboard

We deliver a one-page financial dashboard every month: gross margin, AR aging, cash runway, revenue vs. prior period, and owner equity. The five numbers you actually need — not the fifty your P&L contains.

Internal controls & AR aging management

We produce a monthly controls summary confirming reconciliations are reviewed, vendors verified, and unusual transactions flagged — plus AR aging reports that show every invoice over 30, 60, and 90 days.

Every service your books need.

All via QuickBooks. All handled remotely. All organized so your accountant has something to actually work with.

Zachary Knapp, Bottom Line Bookkeeping
QuickBooks Expert

Hi, I'm Zachary — your bookkeeper.

I started Bottom Line Bookkeeping because too many small business owners were handing their CPA a shoebox in April and hoping for the best. They were working hard, building something real — and getting blindsided every tax season because nobody was keeping their books current.

I'm a remote bookkeeper based in Upstate New York, and I work with business owners across the country using QuickBooks. I specialize in industries where generic bookkeeping falls short — landscapers, general contractors, and trades professionals, ecommerce sellers, restaurants, content creators, and independent healthcare practitioners — because each of those businesses has its own financial reality that a one-size-fits-all approach simply doesn't handle well.

My job isn't to give you tax advice — that's what your CPA is for. My job is to make sure that when you walk into that conversation, your books are clean, current, and actually make sense. We do the books. You do the business.
